Solution

Tender and PQQ response automation

Pre-qualification questionnaires ask the same things again and again: insurance, policies, accreditations, experience. We build a system that answers from your past bids and documents, so your team only writes the parts that are new.

The problem

If you supply larger organisations, you know the routine. A questionnaire arrives with a deadline. Half of it asks things you've answered dozens of times before: company details, insurance, health and safety, quality, environmental policy, relevant experience. The answers exist, but they're buried in old bids, shared drives and someone's inbox.

So a senior person spends days copying, adapting and chasing documents, often on bids that don't go anywhere. The genuinely new questions, the ones that win the work, get whatever time is left.

What we automate

01

Your answer library

Built from your past bids, policies and certificates, so your best existing answers are always to hand.

02

Questions matched to answers

Each new question is matched to the closest answer you already have, adapted to how it is asked.

03

Gaps flagged for a person

Anything genuinely new, or anything the system is not sure about, is marked for your team instead of guessed.

04

Supporting documents gathered

The certificates and policies each answer refers to are pulled together with the draft.

05

A draft pack in your format

The answers come back as a pack your team can review, edit and send.

06

Nothing goes out unchecked

Every answer is reviewed by your team before submission. The system drafts, people decide.

How it works

  1. A free 30-minute call

We look at how the job gets done today and where the time goes.

  2. A clear plan and a price

What we will build, what it changes, and what it costs, before anything starts.

  3. We build it

Connected to the systems you already use, so nobody has to learn a new tool.

  4. The first run, together

We run it on your real work alongside your current process until you trust it.

  5. Kept running

We look after it as your business, your suppliers and the rules change.

Who it's for

  • Engineering and construction suppliers
  • Manufacturers bidding for frameworks
  • Firms that answer PQQs and supplier questionnaires every month
  • Bid teams of one who need their time back

A working example

We built a working demo on a 16-question framework questionnaire for an engineering firm. It reads the questions, finds the best existing answers, drafts the responses and flags the ones that need a person. The same approach works for most supplier questionnaires, because most of them ask the same things in slightly different words.

New to these questionnaires? Start with our guide to how to answer a PQQ, which covers what buyers ask, how answers get scored and what changed for public sector bids in 2025.

Questions people ask

Does AI write the answers?

It drafts them from your own past answers and documents, so the content is yours. Anything new or uncertain is flagged, and your team reviews everything before it's sent.

What formats can it handle?

Questionnaires usually arrive as Word, Excel or PDF, and those are straightforward. Online portals vary, so we look at the ones you use on the first call.

Do we need lots of past bids to start?

No. A handful of good past responses and your current policies are enough to begin. The library gets better with every bid.

Will it work for full tenders, not just PQQs?

The standard sections of most tenders, yes. Bespoke method statements and pricing still need your team, but the system can draft from similar past work.
